Compensation range: AUD2,000-2,500/month

About the role
We are looking for an Ecommerce VA responsible for ensuring smooth daily e-commerce operations and delivering excellent support across customer service, sales administration, operations, inventory, and logistics.
This role is critical to maintaining data accuracy, smooth operational workflows, and excellent customer experiences. The ideal candidate thrives in a fast-paced environment, is confident working across multiple systems, and is proactive, reliable, and solutions-focused.
Responsibilities:
A. Customer Service & Sales Administration
Manage customer enquiries via Gorgias, email, social media, and live chat, providing timely, professional, and brand-consistent responses.
Track, resolve, and escalate customer issues as needed.
Support sales administration, including promotional send-outs, giveaways, ad hoc orders, and sales order data entry for marketing campaigns.
Support the Manager with administrative tasks, including managing wholesale orders and accounts, onboarding therapists and adding them to the system, and maintaining wholesale price lists in Excel.
B. Operations, Inventory & Logistics Support
Manage service requests, drop shipments, and track & trace activities across platforms.
Validate purchase order (PO) accuracy in Cin7, ensuring correct pricing, quantities, and delivery details.
Manage branch transfers and PO processes within Cin7.
Maintain and update vendor and product data to ensure accuracy across systems.
Support 3PL integration and ongoing warehouse operations.
Coordinate inventory across warehouses and fulfilment centers.
Conduct weekly cycle counts and monthly stock takes; reconcile discrepancies in WMS and report findings.
Manage logistics documentation (e.g., packing slips, delivery records).
C. Reporting & Systems
Prepare daily, weekly, and monthly operational, inventory, and sales reports.
Ensure data integrity across ERP, WMS, and e-commerce platforms.
Assist with process documentation, continuous improvement, and compliance adherence.
D. Founder & Brand Social Support
Manage Founder's social content structure, calendar, and filming schedule.
Coordinate filming, schedule, and publish approved content on multiple platforms.
E. Marketing Support
Support Klaviyo campaigns, Shopify product/content updates, blog implementation, and research tasks.
Maintain content calendars, asset folders, and timelines.
Support blog and content implementation in Shopify, ensuring pages are cleanly structured and optimised for AI discovery and search (e.g., formatting, meta fields, internal links).
Assist with customer research, surveys, competitor research, and product research.
Requirements:
At least 3 years of experience in general ecommerce administration and operations.
Experience in retail, e-commerce, manufacturing, or distribution environments is strongly preferred.
Proficiency with Shopify and ChatGPT or other AI tools is required.
Experience with Cin7 or other ERP/WMS platforms is a plus.
Strong skills in Excel; familiarity with Outlook, Word, Canva, Kajabi, and Monday.com is a plus.
Exceptional attention to detail, accuracy, customer service, and organisational skills.
Ability to manage multiple priorities across customer support, sales administration, inventory, logistics, and other activities.
