Position: Executive Assistant
Work hours: 9:00 am - 6:00 pm Australia Time
Compensation range: US$1,250-US$1,500/month

About the role
This is a POOLING role. As an EA, your primary responsibilities will include managing calendars, scheduling appointments, coordinating travel arrangements, and handling communication on behalf of the executives. Additionally, you will assist in project coordination, document preparation, office management, and other operational tasks. The ideal candidate will possess strong organizational skills, excellent communication abilities, and a proactive approach to problem-solving. This role offers an exciting opportunity to work closely with senior leadership and contribute to the success of their fast-paced operation.
Responsibilities:
- Executive Support: Provide high-level administrative support to the CEO and other executives, including managing calendars, scheduling appointments, and coordinating travel arrangements.
- Communication Management: Handle correspondence, emails, and phone calls on behalf of executives, ensuring prompt and professional responses.
- Meeting Coordination: Organize and prepare materials for meetings, take meeting minutes, and follow up on action items as needed.
- Project Management: Assist in coordinating and managing special projects, initiatives, and events as assigned by executives.
- Document Preparation: Prepare and edit documents, presentations, reports, and other materials as required.
- Data Management: Maintain and organize confidential files, records, and databases, ensuring accuracy and accessibility.
- Vendor and Stakeholder Management: Liaise with external vendors, clients, and stakeholders as necessary, maintaining positive relationships.
- Invoice Management: Send invoices & follow ups to unpaid invoices
- Office Management: Oversee office operations, including ordering supplies, managing inventory, and coordinating office maintenance and repairs.
- General Admin Task: Support with operations-related tasks.
Requirements:
- Bachelor's Degree: In Business Administration, Management, or related field preferred.
- Experience: Minimum of 4 years of experience in an executive assistant or similar role, preferably in a marketing agency.
- Excellent Communication: Strong verbal and written communication skills, with the ability to interact professionally with executives, team members, and external partners.
- Organizational Skills: Exceptional organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Tech Proficiency: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other productivity tools.
- Problem-Solving Skills: Proactive problem solver with the ability to anticipate needs, identify issues, and propose solutions.
- Adaptability: Flexible and adaptable to changing priorities and able to work independently with minimal supervision.
- Discretion: Ability to handle sensitive information with discretion and maintain confidentiality at all times.
- Attention to Detail: Meticulous attention to detail and accuracy, ensuring high-quality work output.
- Team Player: Collaborative mindset with the ability to work effectively as part of a team and support colleagues as needed.
